Configuring Reservation commissions

Reservation commissions are used to calculate property manager commissions and owner income on an Owners statement. After your initial onboarding, you can set up new Reservation commissions to apply to a property that doesn't have a commission applied yet.

These can be customized to display specific details, such as gross or net amounts, and include recurring fees or adjustments.


How To Set Up a New Reservation Commission Agreement:

  1. Click Operations > Owner statements > Reservation commissions and click +Add New

  2. Tell us who receives the payout, you or your Owner. This defines whether a monthly Statement is generated or a monthly Invoice.

  3. Tell us whether or not you receive Airbnb co-host payouts. If you receive Airbnb co-host payouts, select 'Yes' so that commissions for Airbnb reservations will be marked as paid, and remaining balances owed will be accurate for Airbnb reservations.   4. Next, configure your Earnings based on your agreement with your owner.

    1. Commission is a percentage taken on certain elements of the reservation, and can be set by platform if your rates differ. We recommend taking your commission on the Accommodation after discounts, but there's also an option to take commission based on the full payout or customizing it to met your needs. Your commission can be recognized in a way that aligns best with your business (read more about Recognizing revenue in our help article). We recommend prorated per night, but you can also recognize this revenue based on check-in or check-out date.

    2. Flat rate per reservation is a flat rate applied per reservation, charged to the owner. You can configure one rate for all reservations, or configure a different rate for a specific platform. For example, you can charge a flat rate only on Direct reservations, to help cover additional marketing expenses required to increase Direct reservations.

    3. Commission tax a commission tax can be added to charge your owner a percentage on top of your commission for tax purposes (VAT, GST, HST). This percentage will apply to your resulting commission amount + the flat fee (if present).

    4. Next, tell us how you split Reservation fees with your owner. The manager or owner can keep all the fees, or you can further customize for each individual fee (e.g. the manager keeps 80% of the pet fee, and the owner gets 20% of the pet fee). Reservation fees can be recognized in a way that aligns best with your business. You can recognize all reservation fees the same way, or further customize at the individual fee level.

      Note:

      • Pass-through taxes are always recognized on the check-in date.

      • This is not configurable (even if commission or fees are set to check-out or prorated).

  5. Apply this Reservation commission to specific properties by checking the box besides the property that the commission applies to. You cannot have more than one active commission on a property, so only properties without existing commissions can be checked.

  6. Click Save. Now, your Reservation commission will be applied to the relevant property's reservations, and PM commission and Owner income will be calculated accordingly.


Additional Context on Fee Display

  • Cleaning Fees: Cleaning fees are included under Manager Fees in the Owner Portal breakdown rather than shown as a separate line item. If the commission agreement assigns the cleaning fee entirely to the manager, the full amount appears under Manager Fees. Cleaning fees may appear as lower amounts on statements if revenue is set to "Prorated per night." For reservations spanning two months, the cleaning fee is split across the respective monthly statements based on the number of nights in each month.

  • Other Reservation Fees: Additional reservation fees are not listed as separate line items if they are part of the commissionable base under your reservation commission agreement. Instead, they are included in the commission calculations. To adjust this, review your commission agreement settings..

Troubleshooting Common Issues

  • Missing Owner Statements: If an owner statement does not appear or does not show reservation revenue for a property, check if the property is set to Muted (and Unlisted). Muted properties are treated as inactive, and their owner statements are hidden. Unmute the property and refresh the Owner Statements section. The statement should now appear and can be viewed or downloaded. You can re-mute the property afterwards if needed.

  • Incorrect Fee Amounts: If fees, such as cleaning or pet fees, do not align with expectations, review your commission agreement to confirm the fee settings. Adjust the agreement to ensure totals align with your intended splits.
