How to Transfer Property Ownership in Owner Statements

You can transfer property ownership within Owner Statements to handle ownership changes without losing historical statement data. This allows property managers to update ownership accurately while keeping past statements intact and auditable.

What Is a Property Ownership Transfer?

A property ownership transfer updates which owner receives Owner Statements starting from a specific month. This is useful when a property changes owners or management responsibilities shift over time.

Importantly, ownership transfers do not overwrite historical data. Published statements remain associated with the owner who was active during that time.


What Happens When Ownership Changes?

When you transfer ownership of a property:

  • Published statements stay with the original owner
    Past statements are never reassigned or modified.

  • Draft statements move to the new owner
    Any unpublished statements are automatically reassigned based on the new ownership period.

  • Each statement shows the correct owner
    The statement list reflects the owner tied to the statement’s date range—not just the current owner.

This ensures accuracy for reporting, audits, and owner communication.


Types of Ownership Transfers

The type of transfer available depends on whether statements have already been published.

Full Transfer

A full transfer is available when no Owner Statements have been published for the current owner.

  • Ownership can start from any month

  • The original ownership period is fully replaced

  • No historical statements are affected

This is best used when ownership needs to be corrected before statements are finalized.


Partial Transfer

A partial transfer applies when one or more statements have already been published.

  • Ownership starts from the month after the last published statement

  • Published statements remain with the original owner

  • Future (and draft) statements move to the new owner

This ensures published financial records remain accurate and unchanged.


How to Transfer Property Ownership

To transfer ownership of a property:

  1. Go to the Operations Owner ManagementProperties

  2. Click on the property with the ownership change

  3. Select Transfer Ownership

  4. Choose the new owner

  5. Select the starting month

  6. Confirm the transfer

Once confirmed, ownership updates take effect according to the rules outlined above.

Ownership transfers always begin on the first day of a month.


Viewing Ownership History

Each property now includes a complete ownership history.

From the property page, you can view:

  • All past and current owners

  • The active date range for each ownership period

This provides a clear timeline of ownership changes and helps with audits or reconciliations.


Deleting an Ownership Period

You can delete the current ownership period if no statements have been published for that owner.

When an ownership period is deleted:

  • The previous owner is restored (if one exists)

  • No published statements are affected

If statements have already been published, the ownership period cannot be deleted.


Important Rules to Know

Please keep the following rules in mind when transferring ownership:

  • Ownership transfers always start on the 1st of a month

  • Published statements never change owners

  • Draft statements are automatically reassigned to the new owner

  • Statement ownership is determined by date range, not current ownership

These rules are in place to protect the accuracy of financial records.
