Vrbo Partner: Altering Reservations

Learn how to modify dates, pricing, and guest counts for Vrbo reservations, and how alteration handling differs between Legacy and Partner Connection bookings.

Reservation alterations work differently depending on how the reservation was created.

Vrbo reservations connected through the Vrbo Partner integration can be altered directly in Hospitable. Older reservations created through the Vrbo Legacy connection must still be altered in Vrbo.

You can identify which process applies by checking the reservation code at the top of the reservation.

  • Reservations starting with VRBO- use the Vrbo Partner Connection

  • Reservations starting with HA- use the Vrbo Legacy connection

The reservation code determines where the alteration must be completed. Reservations cannot be moved between alteration workflows.


Altering a Vrbo Partner Reservation

Reservations with codes starting with VRBO- can be altered directly in Hospitable.

Hospitable manages:

  • Guest communication

  • Pricing updates

  • Payment collection or refunds

  • Reservation updates

  • Payout adjustments


What Can Be Changed?

You can modify:

  • Check-in and check-out dates

  • Length of stay

  • Nightly rates

  • Guest count

When an alteration is created, reservation totals are recalculated automatically.

This includes:

  • Accommodation charges

  • Taxes

  • Applicable fees

  • Payment adjustments


How to Send an Alteration Request

  1. Open the reservation in the Inbox or Calendar.

  2. Click Alter reservation.

  3. Update the dates, pricing, or guest count.

  4. Review the updated reservation total.

  5. Select an expiration period for the request.

  6. Click Send alteration request.

The guest receives both an automated Vrbo message and an email containing a link to review the alteration request in the Hospitable Guest Portal.

How Guests Review Alteration Requests

When you send an alteration request, the guest receives:

  • An automated Vrbo message

  • An email notification

Both notifications include a link to the Hospitable Guest Portal where the guest can review the proposed changes.

The guest can:

  • Review the updated dates, pricing, and guest count

  • Compare the updated total with the original reservation

  • Approve the alteration

  • Reject the alteration

What Happens After the Guest Approves?

Approving the alteration request does not immediately update the reservation.

After the guest approves the request in the Hospitable Guest Portal, Hospitable attempts to process any additional payment required for the alteration.

If payment is successful:

  • The alteration is accepted

  • Reservation details update automatically in Hospitable

  • The updated reservation information syncs to Vrbo

  • Payment differences are collected or refunded automatically

  • Reservation financials are recalculated

  • Payout timing is adjusted if the check-in date changes

  • Scheduled messages are updated to use the new dates

  • The calendar reflects the updated stay dates

If payment fails:

  • The alteration remains pending

  • The reservation remains unchanged

  • The guest receives an email and a Vrbo message asking them to update their payment method and try again

An approved alteration is not finalized until any required payment has been successfully processed.


What Happens If the Guest Rejects the Request?

If the guest rejects the alteration request:

  • The reservation remains unchanged

  • No payment adjustments are made

  • Existing payout timing remains unchanged

  • Existing reservation dates remain unchanged

You can create a new alteration request if different changes need to be proposed.


Altering a Vrbo Legacy Reservation

Reservations with codes starting with HA- were created using the Vrbo Legacy connection.

These reservations cannot be altered in Hospitable.

To make changes:

  1. Sign in to your Vrbo account.

  2. Open the reservation.

  3. Create the alteration in Vrbo.

  4. Wait for the guest to accept the request.

Once accepted, the updated reservation details will sync back to Hospitable.

The Alter reservation option in Hospitable is not available for HA- reservations. Alterations must be completed directly in Vrbo.

Things to Know

Payment Adjustments

When a reservation total changes:

  • Additional amounts are collected automatically when required

  • Refunds are issued automatically when applicable

  • Reservation financials are updated to reflect the new total

Installment Payments

If installment payments are enabled:

  • Future installments are recalculated using the updated reservation total

  • Previously collected payments are not automatically refunded unless required by the new total

Cancellation Policies

Alterations continue to follow the listing's cancellation policy.

If an alteration results in a refund, the refund amount is determined according to the applicable policy.

Vrbo Traveler Service Fees

Vrbo manages traveler service fees separately from reservation alterations.

Questions about traveler service fees or traveler service fee refunds should be directed to Vrbo Support.


Frequently Asked Questions

Why can't I alter my reservation in Hospitable?

Check the reservation code. Reservations beginning with HA- must be altered in Vrbo. Reservations beginning with VRBO- can be altered in Hospitable.

Can I change the price without changing the dates?

Yes. You can submit an alteration request that only updates pricing.

Can I change the guest count?

Yes. Guest count changes can be included as part of an alteration request.

What happens if the guest rejects the alteration?

The reservation remains unchanged and no payment adjustments are made.

What happens if the guest approves the alteration but the payment fails?

The alteration remains pending until the guest updates their payment method and successfully completes the payment process.

Will payout timing change after an alteration?

If the check-in date changes, payout timing may also change because payouts are tied to the reservation's check-in date.

How long does it take for the alteration to appear on Vrbo?

Reservation updates appear immediately in Hospitable after the alteration is finalized. Updates may take additional time to appear in Vrbo.

How does the guest approve an alteration request?

The guest receives both an email notification and a Vrbo message containing a link to the Hospitable Guest Portal, where they can review and approve or reject the proposed changes.
