Task Rules: Manually Assigning Tasks To A Teammate

How can I manually assign a task to a teammate?

Task rules can assign every task they create to a specific teammate. You can set this up when you create the rule, or add a teammate later. This article covers manual assignment. How manual assignment actually works

The teammate you pick on a task rule is used as the default when the rule creates a new task. It is not a live link. Changing the teammate on the rule later doesn't reassign tasks that already exist, and it does not change who gets notified about them.

To move an existing task to a different teammate, open the task itself and reassign it there.

Assign a teammate to a specific task

  1. Go to Calendar and switch to the Tasks view on the top right (or go to Operations > Task Management > Require assignment).

  2. Find the task you want to assign and click it to open it, or click on Assign.

  3. Click Assign teammate and select the teammate.

  4. Click Save.

The teammate will get a "new task" notification if you have a matching notification rule set up under Operations > Notification rules. See Task Reminders & Notification Rules Overview.

Team scoping

The teammate you pick has to belong to the team that matches the task type. For example, a teammate who only belongs to the Cleaning team cannot be assigned to a Check-in task.


Reassign a task to a different teammate

You can hand a task off to someone else at any time, even if the task rule assigned it automatically.

From the Calendar:

  1. Open the task from Calendar > Tasks

  2. Click the task on the calendar you want to reassign.

  3. Click on the individual task.

  4. Under Change teammate, pick the new teammate.

  5. Click Save.

From Operations > Task Management

  1. From Overview, click on the Upcoming tab.

  2. Click on the task you want to reassign.

  3. Under Change teammate, pick the new teammate.

  4. Click Save.

When you swap the assignee, if enabled:

  • The former teammate gets a "task deleted" notification.

  • The new teammate gets a "new task" notification.

This only affects the one task you edited. Future tasks the rule creates will still use whoever the rule points to. To change the rule's default, see How to Create a Task Rule


Find unassigned tasks

To see every task that does not have a teammate yet:

  1. Go to Operations > Task Management.

  2. Click Require Assignment.

  3. Click on a task and choose a teammate for the task.

  4. Click Save.


Manual assignment vs. notification rules

These two sound similar but do different jobs:

Task assignment (this article)

Notification rule

Picks who owns the task.

Decides who gets pinged about tasks that already exist.

One assigned teammate per task.

Can notify multiple teammates about the same task.

Set on the task itself, or seeded by the task rule.

Set under Operations > Notification rules.

If three teammates are getting notified about one cleaning task and you only want one of them to see it, the fix is in your notification rules, not the task assignment. See Task Reminders & Notification Rules Overview.


Marketplace and Autopilot cleanings

If a property uses Marketplace cleaners or Autopilot, those bookings assign the cleaner through the Marketplace, not through your teammates list. You will not be able to manually assign one of your own teammates to a Marketplace-assigned task. See Marketplace Cleanings.

When to use automatic assignment instead

If you rotate cleaners, split work by day of the week, or have more than one teammate covering the same property on a schedule, automatic assignment on the task rule is usually a better fit. See Task Rules: Automatically Assigning A Task To A Teammate.
