Hospitable lets hosts create, assign, and monitor cleaning, maintenance, and other property-related tasks from one place.
Teammates receive assignments in the Tasks App, where they can accept jobs, complete checklists, upload photos, and report issues. As a host, you manage their assignments and follow their progress through Hospitable.
Create and Assign a Task
You can create tasks manually or use task rules to generate assignments automatically.
Create a Task Manually
Go to Operations → Task Management.
Open the task calendar and select the date.
Click + New.
Select the task type: Cleaning, Check-in, Checkout, or Maintenance.
Set the start and end times.
Select the teammate responsible for the task.
Review the checklist, property access details, and any additional instructions.
Review the task details and create the task.
The assigned teammate receives the job in the Tasks App and can accept or reject it.

Use Task Rules for Automatic Assignments
Task rules let you automatically create assignments based on reservation activity.
To review the rules configured for a property, go to Operations → Task Rules.
You can use task rules to reduce the need to create recurring cleaning assignments manually.

Configure Backup Cleaners
You can select backup cleaners when assigning a cleaning task.
The first selected cleaner is the primary cleaner. If they decline the assignment, Hospitable can automatically offer the task to the next backup cleaner, following the configured order.
This helps avoid manually reassigning a task every time the primary cleaner declines.
Automatic backup assignment does not guarantee that a backup cleaner will accept the job.

Create and Manage Task Checklists
Checklists provide teammates with instructions for completing their assigned work.
When creating a task:
If the property already has a checklist, Hospitable automatically adds it to the task.
You can add or remove checklist items.
If no checklist exists, you can use Auto generate to create an AI-generated checklist.
AI-generated checklists can be reviewed and edited before the task is created.
You can also include property access details and additional instructions.
For properties with supported smart locks, you can select the relevant access option to provide the teammate with an access code. Otherwise, the task uses Other Access.

Monitor Task Progress
You can follow assigned work under Operations → Task Management.
Open a task to review its details, including:
Assigned teammate and scheduled times.
Task status and progress.
Checklist completion.
Uploaded photos.
Reported property issues.
Teammates update their jobs through the Tasks App as they work.
Help a Teammate Who Cannot Find a Job
First, confirm that the task exists and is assigned to the correct teammate.
If a teammate selects a date without any assigned jobs, the Tasks App may show their next upcoming accepted task instead.
Seeing an upcoming task on a date without assigned work does not mean the task was scheduled incorrectly.
If you need to identify which rule created a task, review the property's active rules under Operations → Task Rules.
Preview a Teammate's Tasks App
You can use Preview Tasks to see the Tasks App from a teammate's perspective.
This is useful when helping a teammate locate an assignment or understand what information is available to them.
Go to Operations → Teammates.
Open the teammate's profile.
Select Settings in the upper-right corner.
Click Preview Tasks.
Hospitable opens a read-only view of the teammate's Tasks App, showing the work you have assigned to them.

Preview Tasks is read-only. You cannot accept, reject, complete, or cancel tasks; upload photos; send messages; or change payout settings. You also cannot see tasks assigned to that teammate by other Hospitable hosts.
Understand Shared Jobs
A teammate can share an accepted job with another person who is helping them complete the work.
When a job is shared:
The helper can access the shared job and contribute to its completion.
The helper can complete checklist items, upload photos, report issues, and send messages.
The host can see the helper's name on the task and on their submitted updates.
The helper cannot access unrelated jobs or view the original teammate's payment information.
The original teammate remains responsible for the assignment and receives the payment.
Sharing a job does not automatically add the helper as a Teammate in your Hospitable account. To assign future jobs directly to that person, add them as a Teammate.
Review Photos and Reported Issues
Teammates can upload photos and report property issues while completing their jobs.
You can review these updates from the corresponding task in Hospitable.
Share a Task Photo Outside Hospitable
You can share a read-only link to an uploaded task photo.
Open the photo on the task.
Select Copy link to share.
Share the link with the intended recipient.
The shared page can include the photo and supporting information such as its timestamp, property location, device details, and map coordinates.
Anyone with the link can access the shared photo page without signing in to Hospitable. Only share it with people you trust.

Communicate With Teammates
Hosts and teammates can exchange messages about assigned work through Hospitable and the Tasks App.
Messages can be used to clarify instructions, discuss access details, report issues, and coordinate job updates.
Teammates use the Messages area in the Tasks App, while hosts review the corresponding communication in Hospitable.
