Prerequisites

  • Create a Business: Accounting softwares are connected to Businesses in Hospitable, so you must have a Business created before you can connect your Accounting software. Check our our help article on Creating a business.

  • An active account with your accounting software.

Connecting your Accounting software

  1. Go to Operations > My Business > and select the Business you'd like to connect an accounting software to. If you haven't created a business yet, you'll need to do that first.

  2. Select the Accounting tab under Owner Management, locate your accounting software and click Connect.

  3. A new window will open, prompting you to log in and allow Hospitable to access your accounting software. Follow the steps carefully to ensure you're accessing the intended account.

Configuring Business-level and Property-level tracking

Hospitable uses tracking categories to track financials more granularly, at both the Business and Property level. If your accounting software does not have tracking categories available, you will not be able to view reports at the Business-level of Property-level. You can upgrade your accounting software to enable tracking categories if this is important to you, or consider using Hospitable's Profit & Loss Reports, which does this by default.

In QuickBooks, tracking categories are called Classes.

By default, we'll create a new tracking category for your Business, with a child tracking category for every Property associated with that Business. You can also select an existing tracking category if you already have them set up in your accounting software.

Create or Map your Owners (only relevant for Management Businesses)

Hospitable will create your Owner as a Vendor in your accounting software. If you already have your Owners set up in your accounting software, you can select them from the dropdown. If not, we'll take care of that for you and create one for each Owner. When you're done, click Connect.

Define your Chart of Accounts

The next step is to define your Chart of Accounts. Hospitable recommends a Chart of Accounts for you, or you can select any of your own existing accounts from the dropdown if you have a pre-existing setup you'd like to continue using.

  1. Select the desired Account from the dropdown, or keep Hospitable's proposed Default Account.

  2. When you're done, click Preview and select any reservation to preview the Journals that will be pushed to your Accounting software, based on your Chart of Accounts.

  3. If you need to make changes, click Close preview and change any of the accounts by choosing your desired account from the dropdown.

  4. Once you're happy with the Accounts selected and the Preview, click Close preview then click Save.

Enable Sync

Next, select the date that you'd like Hospitable to start syncing to your accounting software on. If you've been doing your accounting manually and are up to date, you should sync from today's date. If you haven't been doing any accounting this year, we recommend selecting January 1st, so that a full calendar year is handled.

Hospitable is now connected with your accounting software!

Hospitable uses cash basis accounting methods, which recognizes revenue when the money is paid.
