How to Add, Edit, or Remove a Secondary User (via User Management)

Learn how to make changes to your secondary users under User Management

User Management allows you to provide secure and customized access to your Hospitable account. You can learn more about User Management here.

It's important to understand the distinction between Teammates and Secondary Users. Teammates do not have login access but can receive notifications and view iCal calendar feeds, while Secondary Users have login access with configurable permissions.

How to Create a New Secondary User & Set Permissions

  1. Go to Settings

  2. Click on User Management

  3. On the User Management page, please click on + Invite a user to be taken to the new user's page.

  4. Add the user's first name, last name, and email

  5. Select their access (do you want them to have full access to your account or custom access?)

    Full access gives the user full permissions and access to your Hospitable account. Note, however, that secondary users do not have access to billing, muting or unmuting properties, or accessing API keys.

    Custom access allows you to set which permissions the user will have.

    If custom access is selected, go to Permissions and configure access settings.

    Access to the following features can be disabled or enabled for each individual user:

7. Click on the Invite button at the bottom of the page to invite this new user

8. The new user will need to accept your invitation by email, which will allow them to create an account (or connect it to an existing Secondary User account)

9. (Optional) Repeat for as many users as you'd like


How to Invite a Secondary User Who Already Has a Hospitable Account

If you are adding a person as a secondary user on your account, but they already have an account with Hospitable, then it's important to know whether they are a Primary user on Hospitable or a Secondary user.

Inviting a user who is already a Secondary user on other accounts

If a user is already a Secondary user for another account, they can be invited to your account using the same email address.

When the user logs in, they can choose which account to access by clicking on their name/profile photo and selecting the appropriate account. Each view will display only the data relevant to the selected account.

Inviting a primary user to join your account as a secondary user

A Primary user account cannot simultaneously be a Secondary user account. If you'd like to invite a secondary user to your account who has (or had) a primary account, you have two options.

If you try to add a Secondary user to your account, using an email address which they already use for a Primary user account on Hospitable, you will get the following error message:

There are two ways in which you can invite a Primary user to become a Secondary user on your Hospitable account:

Option 1: Add a new account with a different email address

This allows the Secondary User to use keep both accounts active, if they wish.

Example: If the email address [email protected] is already used for a primary account, you can create a secondary account using [email protected].

Option 2: Migrate an existing account

If the current primary account is no longer needed, you can contact support to request an account migration.

This migration will convert the primary account into a secondary account, and all data tied to the original primary account will be lost. Ensure that any important information is backed up before proceeding, as the migration is permanent.


How to Edit a Secondary User

  1. Go to Settings

  2. Click on User Management

  3. Click on the user's name

  4. Make any changes to the user's name, email, or permissions

  5. Click Update


How to Delete a Secondary User

  1. Go to Settings

  2. Click on User Management

  3. Two options:

    1. Click on the ... next to their name > Delete

    2. Click on their name > scroll to the bottom of the user's page > click Delete user
