Overview: Rental Agreements

Collect and retain digitally signed agreements from guests. Use short codes to dynamically generate documents for each reservation.

Rental agreements allow you to create and retain digital rental agreements with guests.

Overview: Rental Agreements

Once a template is created (example rental agreement), Hospitable will automatically generate a rental agreement for every applicable future reservation and add it to the Guest Portal as a registration task for the guest.

We refer to the agreement in the Guest Portal by the document name, which defaults to "Rental Agreement". This is what it'll look like for your guest.

Before signing, the guest will need to verify their identity by getting a one-time code via email or SMS.

Optionally, you can also choose to require your guest to go through ID verification as part of signing the agreement.

After verification, they will be able to review the agreement and add their digital signature by selecting a signature font or by manually signing the agreement using their mouse, touchpad, or touchscreen.

We capture the timestamp and other information and generate a unique document ID. This is added to the document and saved as a locked, immutable PDF.

You can view all generated agreements by clicking over to the Signed Agreements tab. Unsigned agreements will show as pending, while signed agreements will display the date and full name of the signatory. Click on any document to open the PDF and download the document.

Additionally, once a guest has signed the agreement, you can share the signed document with them by providing a guest portal link for direct download or by downloading the PDF yourself and sending it via email.

Restricting Check-in

By default, the guest is required to sign the rental agreement before they can check-in. This means messages with check-in instructions will be paused automatically until the guest signs the rental agreement. This prevents the guest from having the information needed to access your property until the agreement is signed.

When scheduled messages are paused for a guest, you will receive a push and email notification. If you still want to allow the guest to check-in, you can remove the rental agreement from the reservation.

If you do not require a rental agreement to be signed prior to check-in or if you do not want to withhold scheduled messages, you can update the conditions of rental agreement so that it is not required. Note that the automated guest portal task reminders will not be sent for optional agreements.

Prompt Guests to Sign the Rental Agreement

To get guests to sign the rental agreement as soon as you've accepted the booking, update your New Reservation messaging rule to include a link to the guest portal.

Add the %guest_portal% short code to the message, which will be populated with a link to the Hospitable guest portal. The short code will contain the URL only, so be sure to add some context for the guest. For example:

If the guest does not sign the rental agreement, Hospitable will automatically send reminders to the guest for you. See Guest Portal Task Reminders for more details.

Note: To be able to send the guest portal link in your messages to Booking.com guests, you must first “whitelist” the guest portal domain (stay.hospitable.com). If you have set up a custom domain for your guest portal, that URL is the link you'll need to whitelist. You can read about how to whitelist links on Booking.com here.

For exceptional cases like last-minute check-ins or urgent agreement requests, you can use the Request New Signature feature to expedite the process.

Adding and Removing a Rental Agreement from a Reservation

Once you create a rental agreement and scope it to properties and platforms, the agreement will be added to all future reservations automatically.

To add an agreement to an existing reservation, you can manually send it by locating the conversation thread in your inbox and selecting the "Request new signature" button from the inbox. You'll be prompted to select the agreement you want to send and personalise the message that will be sent to the guest with the link to the agreement.

Removing a rental agreement from a reservation

To remove an agreement that has been added to a reservation, click on the pending rental agreement from the inbox or Guest Experience and select "Remove agreement."

Using shortcodes in rental agreements

You can use all shortcodes in your rental agreement template that relate to the reservation.

Examples of these are shortcodes such as %guest_name%, %check_in%, %guests% and more.

Note: You can not use any shortcodes that relate to a teammate in your rental agreement template.

There are shortcodes such as %teammate_phone%.

Teammates are not assigned to reservations in any way, so there is nowhere for us to pull in the information to populate those shortcodes in the rental agreement.
