Airbnb: Using Other Software With Airbnb (Limited Connection)

How Hospitable’s limited Airbnb connection works, what it allows, and what limitations to expect.

Hospitable offers a limited Airbnb connection for hosts who use another property management software (PMS) as their primary calendar manager.

This article explains what a limited connection is, what it allows, what it restricts, and how to upgrade or downgrade your connection.


What Is a Limited Connection?

A limited connection means Hospitable is not connected to Airbnb with full PMS (Property Management Software) permissions.

Airbnb allows only one PMS to control listing details and calendar data. If another software is set as the source of truth, Hospitable must connect in a limited capacity.

When connected in limited mode:

  • Hospitable cannot manage listing details on Airbnb.

  • Hospitable cannot push pricing or availability updates.

  • Hospitable cannot block or modify your Airbnb calendar.

Note: With a limited connection, Hospitable does not control your Airbnb calendar. Changes made in Hospitable will not sync to Airbnb.

This setup may increase the risk of availability discrepancies if not managed carefully.


Who Should Use a Limited Connection?

A limited connection is intended for hosts who:

  • Use another PMS to manage their Airbnb calendar and listing details.

  • Want to use Hospitable only for messaging, smart devices, or operations.

You can:

  • Use one software to manage calendar and pricing.

  • Use Hospitable to manage guest communication and operational workflows.


What Is Limited?

When using a limited Airbnb connection:

Calendar and Availability

  • Calendar updates made in Hospitable will not sync to Airbnb.

  • Pricing changes in Hospitable will not sync to Airbnb.

  • Minimum night stay changes will not sync to Airbnb.

  • Availability blocks will not sync to Airbnb.

If Airbnb is your lead listing:

  • Hospitable will still pull reservations and calendar data for display.

  • Editing the calendar in Hospitable will not push changes back to Airbnb.

If you create manual or Direct bookings:

  • You must export your property’s iCal feed to your booking platforms or PMS to prevent double bookings.


Listing Details

Hospitable cannot push listing detail changes to Airbnb.

Updates made in Hospitable or other platforms will not sync to Airbnb unless Hospitable is upgraded to full PMS access.


Reservations and Messaging

Hospitable will:

  • Pull reservations from Airbnb.

  • Support guest messaging.

  • Support smart devices.

  • Support operations and task management.


How Limited Listings Appear

You will see a yellow Calendar Restricted badge:

  • On the Channel connections page next to the Airbnb channel.

  • Inside the property view on the Properties page.

Risks and Limitations

A limited connection is not recommended for full listing management.

Note: Calendar changes made in Hospitable will not sync to Airbnb while on a limited connection.

This can lead to:

  • Availability inconsistencies

  • Increased risk of double bookings

  • Manual calendar management requirements


How to Set Up a Limited Connection

If another PMS is already connected to Airbnb, a full connection attempt will fail.

To connect using limited mode:

  1. Log in to your Airbnb account in a browser tab.

  2. In Hospitable, go to Settings ⚙️ > Channel connections.

  3. Click Connect with Airbnb.

  4. Select the option at the bottom of the screen for hosts already using other software.

  5. Click Limited connection.

  6. Confirm the connection.


Downgrading to a Limited Connection

To downgrade an existing Airbnb connection:

  1. Log in to the Airbnb account.

  2. In Hospitable, go to Settings ⚙️ > Channel connections.

  3. Click Edit next to the Airbnb channel.

  4. Select Downgrade to limited connection.

  5. Confirm.


Upgrading to a Full Connection

If you later want Hospitable to manage your Airbnb calendar and listing details:

  1. Disconnect any other PMS from Airbnb.

  2. Log in to Airbnb in a web browser.

  3. In the same browser session, log in to Hospitable.

  4. Go to Settings ⚙️ > Channel connections.

  5. Click Upgrade next to the Airbnb channel.

Upgrading restores:

  • Calendar control

  • Pricing management

  • Availability blocking

  • Listing detail management


Co-Hosted Listings

For co-hosted listings:

Note: The Airbnb Listing Owner must be connected to the same Hospitable account for a full PMS connection.

If the Listing Owner is not connected:

  • The listing will remain calendar restricted.

  • You will not be able to upgrade to full management.

To upgrade, invite the Listing Owner to connect their Airbnb account with full PMS permissions.


Automated Messaging Considerations for New Users

If you selected the Jumpstart onboarding option, automated messaging may already be enabled in Hospitable.

If you are also using automated messaging in another system:

  • Guests may receive duplicate messages.

Hospitable recommends:

  • Configuring automated messaging in Hospitable.

  • Disabling automated messaging in other software.
