Change Your Property's Availability

The calendar allows you to set availability for a date, or series of dates, across all connected platforms.

There are a few different ways in which Availability can be set in Hospitable and sent to your listings:

  1. It can be Manually set on your property calendar.

  2. It can be set using availability rules on the property’s Availability page:

    1. Availability window sets a time period guests can book in advance.

    2. Preparation time blocks dates before and after bookings to allow for easier turnover.

    3. Advance notice controls how far in advance a guest can book a stay at your property.

1. Manually editing calendar availability

You can manually edit the availability for particular dates in your calendar if you:

  1. Go to your Hospitable account.

  2. Select either Properties > select a property > click on Calendar or go to the main Calendar page to view all property calendars on one page.

  3. Click on the date you wish to change twice (or, to select a series of dates, click on a start date and an end date).

    1. If you select more than one week, we will show a day of the week selection option, with all dates selected by default. If you only want your availability updates to apply to specific days of the week, deselect the unwanted days.

      In the example shown in this screenshot, changes will only apply to weekend dates (Friday and Saturday).

  4. Select Available or Blocked

  5. Click Save.

Availability set manually will be pushed to all listings in your property.

The calendar will prefer the manual edit over the availability set by any availability rules set on the property’s Availability settings page. You can read more about that page and those settings here.

Dates with manually edited availability can be reset on the backend so that they start following the availability rules on your property again. Please contact support for assistance with resetting this.


2. Setting availability using the availability rules on your property

You can set availability rules which automatically open up and block dates in your calendar based on certain criteria.

To find your property’s availability rules, go to:

  1. Hospitable > Properties

  2. Select the property you want to edit.

  3. On the left-hand side panel, go to “Availability”.

Setting an availability window on your property

The Availability window setting controls how far in advance your guests can make bookings. It can be found on the General page of the Availability tab.

  • The minimum availability window setting is 1 month.

  • The maximum availability window setting is 24 months.

  • Setting your availability window to 'Dates unavailable by default' will block the entire calendar.

    • You will need to manually open dates in your calendar for them to become available.

  • The availability window is editable per booking channel.

  • Availability set by the availability window is pushed to all listings on the property.

  • Manual changes to availability in your calendar will override the availability set by your Availability window.

Dates with manually edited availability can be reset on the backend so that they start following the Availability window on your property again. Please contact support for assistance with resetting this.

Setting a preparation time on your property

The Preparation time setting blocks dates before and after bookings to allow for easier turnover. The setting can be found on the Booking rules page of the Availability tab.

  • Preparation time can be set to one or two turnover nights.

  • Blocks made by the preparation time setting are pushed to all listings on the property.

    • Exception: If your property contains a Vrbo listing, and that Vrbo listing is not the Lead listing on the property, and a reservation is booked on Vrbo, then the Preparation time will not be pushed to Vrbo! The dates before and after the reservation will remain available on Vrbo.

  • Manual changes to availability in your calendar will override the availability set by your Preparation time rule.

If you manually make a date available in your calendar, later, the date before or after that one gets booked, and you have a Preparation time of one or two days set in the property’s availability rules, the date you manually edited will remain available. It will not be blocked by the Preparation time rule because you previously opened it up manually.

🚨Parent-Child Relationships and Preparation Time.

When you have a parent-child relationship set up, and one of those properties gets booked, the "Preparation Time" rule for each property will be applied to each one.

For example, if the parent property has a preparation time of one day, and the child property has a preparation time of two days, their dates will be blocked one and two days before and after the reservation, respectively.

Setting an advance notice period on your property

The Advance notice setting determines the minimum lead time you need between when a booking is made and check-in. The setting can be found on the Booking rules page of the Availability tab.

You can choose from the following Advance notice options:

  • Same day as check-in, at the time of your choosing (until 11:00 PM)

  • At least 1, 2, 3, or 7 days

  • None

If you manually make a future date available in your calendar, later, when that date comes within reach of your Advance notice rule, the date will remain available. It will not be blocked by the Advance notice rule because you previously opened it up manually.


A note on imported iCal links

You can connect a number of external booking platforms using an iCal link from the calendar on that platform. To do this, you import the iCal link into your property on Hospitable. You can read more about this feature here.

The iCal links will only pull in reservations from the other platform. If you block your dates on the booking platform, that block will not be pulled in to Hospitable via the iCal link! Manual availability like that is not included in the iCal sync.

A note on exported iCal links

Hospitable also provides iCal links per property, which can be exported into an external software or booking platform.

Just like the imported iCal links, the Hospitable Property Reservation iCal links only export blocks made by reservations. The iCal link will not export blocks made in your Hospitable calendar, manually or by an availability rule.

A note on setting availability on your booking platforms

Setting availability on Airbnb

When you connect your Airbnb listing to Hospitable on the Property Management Software scope (PMS scope), your calendar availability must be set and controlled on Hospitable.

Hospitable becomes the source of truth, which will control your availability on Airbnb. You will not have access to change your availability on Airbnb.

If you have connected your Airbnb listing on a limited connection, then Hospitable will not have any control over your Airbnb calendar. You will then need to set availability directly on Airbnb and not in the Hospitable calendar. Hospitable will not pull in that availability from your Airbnb listing and push to your other listings!

Setting availability on Booking.com

Similar to how Airbnb works, when you connect your Booking.com listing to Hospitable, Hospitable becomes the source of truth for your calendar availability.

Availability needs to be set on Hospitable, and Hospitable will push it to Booking.com.

Unlike Airbnb, it is not possible to connect Hospitable to Booking.com on a more limited connection, which could give you access to controlling availability on the Booking.com Extranet.

Other rate plans on Booking.com

Hospitable only syncs with one rate plan on Booking.com per listing. We call that the Parent rate plan. Other rate plans (called Child rate plans) can be set up so that they take price and availability from the parent rate plan. However, you can also create multiple Parent rate plans on Booking.com. Hospitable will not be in control of those other parent rate plans (only one!), meaning you can manually control availability for those.

We do not recommend this sort of setup!

Setting availability on Vrbo

Unlike Airbnb and Booking.com, Hospitable is not the ultimate source of truth for availability on Vrbo. This will change with the upgrade to Vrbo’s Official API, which is coming soon!

Hosts can freely change their availability directly on the Vrbo calendar. This availability will only be pulled into Hospitable if Vrbo is the Lead listing on the property. It will then be pushed to the other listings on the property if you have Availability sync enabled on your Hospitable account.

Because Hospitable is not the ultimate source of truth for your calendar availability on Vrbo, changes can be made to availability on Vrbo after Hospitable successfully pushes availability over to Vrbo.

This will cause discrepancies between Vrbo and Hospitable, which is why we recommend hosts only make availability changes on the Hospitable calendar and do not import iCal links into their Vrbo calendar other than the Hospitable Property Reservation iCal.

A note on availability between Parent/Child properties

Availability changes made on a parent or child property do not propagate to the other properties in the relationship. Only reservations are blocked between properties in a Parent/Child relationship.

If you block dates on a parent property in the Hospitable calendar, those dates will not be blocked on the child property, and vice versa.

Availability rules and Parent/Child properties

Just like with manual availability, availability set by availability rules are not pushed between properties!

Preparation time and Parent/Child properties

When you have a Parent/Child relationship set up, and one of those properties gets booked, the "Preparation Time" rule for each property will be applied respectively.

For example, if the parent property has a preparation time of one day, and the child property has a preparation time of two days, their dates will be blocked one and two days before and after the reservation, respectively, when a reservation is booked on either one of them.


FAQs

Why are dates still blocked after I changed the availability window?

Manual blocks from platforms like Airbnb or ones added previously need to be reset. A backend reset can clear these blocks (please reach out to support for help with that), or you can manually remove them from the calendar.
