Task Reminder Notifications

Automatically remind assigned teammates about upcoming tasks 24 hours in advance

Task Reminder Notifications automatically alert the assigned teammate(s) 24 hours before their task is scheduled to begin. Unlike notification rules, which require separate setup and are triggered by specific events (task assigned, task updated, or task cancelled), task reminders provide automatic advance notice of upcoming tasks without any additional configuration needed.

Task Reminder Notifications are currently in beta. In order to enable these on your account, you'll need to enable beta features.

How Task Reminders Work

When a task is created, Hospitable automatically queues a reminder notification to be sent to the assigned teammate(s) 24 hours before the task's start time. These reminders are sent only to the specific teammate assigned to the task, ensuring relevant notifications reach the right person.

Important: If a task is created within 24 hours of its start time, no reminder will be sent. Setting up a "task created" notification will ensure your teammate is alerted.

Delivery Methods

Task reminders are sent based on the contact information available for the assigned teammate:

  • If the teammate has both an email address and mobile number on their account, they'll receive both email and SMS notifications

  • If only one contact method is available, the reminder will be sent through that channel

All task reminder notifications are automatically translated into the teammate's preferred language (from the 29 languages Hospitable supports).

What Information Is Included

Task reminder notifications include relevant details to help teammates prepare:

  • Task type

  • Task start time

  • Property address

  • Previous reservation details (if applicable)

  • Next reservation details (if applicable)

  • Same-day turnover information and next check-in time (if applicable)

Setting Up Task Reminders

Task reminders are enabled by default for all new tasks and task rules. This means:

  1. When you manually create a task, the task reminder option is automatically checked

  2. To disable the reminder, simply uncheck the "Task reminders" box before saving

  1. Task reminders are enabled by default in the notifications section

  2. All tasks generated from that rule will include reminder notifications

  3. To disable, uncheck the task reminders option in the task rule settings

Managing Task Reminders

Task reminders have been automatically enabled for all your existing tasks and task rules. You can disable them individually by editing each task or task rule and unchecking the reminder option.

To turn off task reminders for a specific task:

  1. Navigate to the task

  2. Uncheck the "Task reminders" option under Notifications

  3. Select "Apply changes"

To turn off task reminders for a task rule:

  1. Go Operations > Task rules > select the task rule

  2. Find the notifications section

  3. Uncheck the task reminders option

  4. Save your changes

When you disable reminders on a task rule, all future notifications for tasks associated with that rule will be removed from the queue.

Teammate Replies

Teammates can reply to task reminder notifications via email or SMS. When they do:

  • Their reply is forwarded to the primary Hospitable user via email

  • If the primary user replies to that forwarded email, it will not be sent back to the teammate. The primary user must contact the teammate directly from that point.
