Overview

To ensure a smooth experience for guests and reduce communication issues, we now ask guests to confirm their contact information when accessing the Guest Portal for the first time. This quick check-in step helps guarantee that key information (like phone number and email) is correct and verified - unlocking access to features like security deposits, guest verification, and rental agreements.

What is the Check-In Form?

The Check-In Form appears the first time a guest opens the Guest Portal for a reservation that includes any tasks - such as a security deposit, rental agreement, or guest verification.

Before accessing the portal, guests will:

  1. Review and update their contact information - name, email, and phone number.

  2. Verify their phone number via a one-time passcode (OTP).

  3. Optionally opt-in to allow the host to contact or market to them.

This form ensures we have accurate, secure contact details - especially important for guests booking via OTAs where phone numbers and emails may be incorrect or virtual.

Why This Matters

  • Improved Guest Experience: Guests can receive OTPs and complete tasks without issues.

  • Better Communication: With verified email and phone numbers, hosts can stay in touch with guests more reliably.

  • Increased Task Completion: Guests are more likely to complete key pre-check-in tasks when they can access the portal successfully.

  • More Revenue Opportunities: A working portal means guests can complete upsells, deposits, and other required actions.

When Will Guests See This?

Currently, only guests with tasks in their reservation will be shown the Check-In Form. That includes:

  • Security deposits

  • Guest verification

  • Rental agreements

If a reservation doesn’t include one of these, the guest can still access the portal as usual.

Is This Secure?

Yes. The Guest Portal uses a unique 32-digit URL and OTP-based verification for secure access.

With the Check-In Form:

  • We validate phone numbers or e-mail via OTP

  • We avoid relying on outdated OTA relay info

  • We secure sensitive actions (e.g., payment, upsells, smart locks) to verified guests only

What Happens After?

Once a guest completes the Check-In Form:

  • Their contact info is saved to the reservation.

  • The name / phone / e-mail of any guests who opted-in to contact will be updated in the reservation thread

  • They can complete their tasks and manage their stay as usual.

Tip: Use %guest_portal% to Share the Link

Add the %guest_portal% shortcode to your messaging rules for accepted bookings. This ensures guests receive a secure link to access the Guest Portal - and now, the Check-In Form too.
