Hospitable keeps a full history of who owned each property and when. When ownership changes, Owner Statements and management agreement fees update automatically based on the new ownership dates.
Important: Published statements are always preserved and remain with the owner who was active during that period.
This article covers three actions available in the Change owner dialog:
Transfer ownership: Assign a property to another owner.
Change start: Correct when the current owner's ownership period begins.
Remove: Remove an eligible ownership period.
What Happens When Ownership Changes?
When you transfer ownership of a property:
Published statements stay with the original owner
Past published statements are never reassigned or modified.
Draft statements move to the new owner
Draft and in-review statements are automatically reassigned based on the new ownership period.
Each statement shows the correct owner
The statement list reflects the owner tied to the statement's date range, not just the current owner.
This ensures accuracy for reporting, audits, and owner communication.
Where to Find These Actions
All three actions are available in the Change owner dialog, which you can open from two places:
Operations → Your Business → select business → Properties: Click the Change owner icon at the far right of the property's row.
Operations → Your Business → select business → Owners → select owner → Overview → Properties: Click the Change owner icon beside the property.
Clicking the Change owner icon opens the dialog, where you can review its ownership periods and available actions.
Transfer a Property to Another Owner
Use this to assign a property's first owner or transfer it from one owner to another.
Assigning a Property That Has Never Had an Owner
Open Change owner for the property.
Select the owner you want to assign to the property.
Choose any start day. A property's first owner can start on any day of the month.
Confirm.
Moving a Property From One Owner to Another
Open Change owner for the property.
Select the owner you want to assign to the property.
The new owner starts on the 1st of a month. Statements before that date stay with the previous owner.
Confirm.
Change When the Current Owner Starts
Use Change start when the current owner's start date is incorrect and you want to correct it without transferring the property to someone else.
Open Change owner for the property.
On the current owner's row, click Change start.
Select the new start date.
Click Save and follow any confirmation prompts.
Available start dates depend on the property's ownership history:
First owner of the property: You can select any day of the month, including a date in an earlier month, provided no published statement blocks the change.
Owner who follows another owner: You must select the 1st of a month, after the previous ownership period ends. The dialog explains why earlier dates are unavailable.
Tip: Need to move an owner's start date to an earlier month?
If the previous ownership period prevents you from selecting that month, remove the newer owner's period (if eligible), then use Change owner to assign the property to the new owner from the correct month. The previous owner's period will end the month before.
What happens when you change the start date?
Moving the start earlier: Adds the additional days to the owner's statement period.
Moving the start later: Hospitable warns you before confirming a change that will delete unpublished statements for the removed dates. Statements for months the owner still partly owns are retained.
Management agreement fees: Fees and statements automatically follow the updated ownership dates.
Published statements: If a published statement falls within the affected dates, Hospitable blocks the change and identifies the statement.
Important: Published statements can prevent changes to affected ownership periods. If a statement is published but not Paid, you can unpublish it before making the ownership change. Review the statement and any financial implications before unpublishing, since changes to ownership dates may affect statement calculations.
Paid statements cannot be unpublished or edited. If you're unable to make the change, contact Hospitable Support for assistance.
Remove an Ownership Period
Use Remove when an ownership period was created incorrectly or a property should no longer be assigned to that owner.
Open Change owner for the property.
Find the ownership period you want to remove and click Remove. This option is available only for eligible periods.
Review the confirmation message, which explains what will happen:
If the previous owner's period ended immediately before the period being removed, the previous owner's ownership continues forward.
Otherwise, the property becomes unassigned from the beginning of the removed period.
Confirm the removal.
Important: You cannot remove an ownership period if doing so would affect a published statement. If Remove is unavailable, check for published statements associated with that ownership period. Published statements must remain with their original owner.
How Ownership History Is Preserved
Hospitable maintains a record of property ownership and its associated statement periods.
On an owner's Overview tab, you can view their assigned properties and ownership start dates. The owner's Statements tab provides access to their statements.
Statement ownership is determined by the ownership date range, not simply by who currently owns the property.
Published statements remain associated with the owner who was active during the statement period.
Draft and in-review statements are automatically reassigned when ownership dates change.
Statement records reflect the owner associated with the relevant period.
This preserves historical financial records when properties change owners.
Rules to Keep in Mind
Published statements are preserved and cannot be reassigned through ownership changes.
A property's first owner can start on any day of the month.
Subsequent owners must start on the 1st of a month.
Management agreement fees and Owner Statements automatically follow the updated ownership dates.
Changes that would affect published statements are blocked until the applicable restrictions are resolved.
Ownership dates can be changed or eligible periods removed using the available actions in the Change owner dialog.
Common Questions
Can I change the first owner's start date to the middle of a month?
Yes. A property's first owner can start on any day of the month. Subsequent owners must start on the 1st.
Can I move an owner's start date past a published statement?
Not if the change would affect that published statement. Hospitable blocks the change and identifies the affected statement.
If the statement is published but not Paid, you can review and unpublish it before making the ownership change. Paid statements cannot be unpublished or edited.
If you're unable to complete the change, contact Hospitable Support for assistance.
I moved an owner's start date later. What happened to the statements for the removed dates?
Unpublished statements for the removed dates are deleted. Statements for months the owner still partly owns are retained. Published statements are preserved.
What happens to management agreement fees when I change the start date?
Management agreement fees and statements automatically follow the updated ownership dates. You do not need to recreate the agreement solely because the ownership start date changed.
What if I accidentally remove an ownership period?
You can use Change owner to assign the property to the intended owner again, selecting the appropriate ownership start date. Available dates depend on the property's ownership history, and published statements may restrict changes.
If you can't restore the intended ownership through Change owner, contact Hospitable Support for assistance.
