How to Add, Edit, or Remove a Secondary User in User Management

Learn how to invite Secondary Users and manage their access in User Management.

What Is a Secondary User?

A Secondary User is someone you invite to your Hospitable account who gets their own login and permissions to help manage your properties.

User Management allows you to control which features and properties a Secondary User can access.

It’s important to understand the distinction between Teammates and Secondary Users. Teammates do not have login access to the main Hospitable app but can receive notifications and access their assigned tasks, while Secondary Users have their own login with configurable permissions.

An Airbnb account can only be connected to one Hospitable account at a time. Splitting listings from the same Airbnb account across multiple Hospitable accounts is not supported.

Add a Secondary User

To invite a new Secondary User:

  1. Go to Settings ⚙️ → User Management.

  2. Click + Invite a user.

  3. Enter the user's name and email address.

  4. Choose their access:

    • Full access

    • Custom access

  5. If you choose Custom access, select the features and properties they should be able to access under Permissions.

  6. Click Invite.

The Secondary User will receive an email inviting them to create their login.

Note: There's no limit to the number of Secondary Users you can add.


Choose Full Access or Custom Access

When adding or editing a Secondary User, you can choose between Full access and Custom access.

Full access

Full access gives the Secondary User:

  • Full access to all features

  • Full access to all properties

  • Access to financial data

  • Access to certain account-level settings and management tools

Some account-level features specifically require Full access and cannot be enabled individually through Custom access.

Full access does not give a Secondary User access to subscription details or the ability to invite or manage other users.

Custom access

Custom access lets you choose:

  • Which features the Secondary User can access

  • Which properties they can access

  • Optional access to financial data

  • Additional feature-specific permissions

Use Custom access when someone only needs to manage specific parts of your account or specific properties.

Selecting all available Custom access permissions is not the same as granting Full access. Some account-level settings and actions specifically require Full access.

Invite a Secondary User Who Already Has a Hospitable Account

If the person you want to invite already uses Hospitable, the steps depend on whether they're already a Secondary User or have their own primary account.

If they're already a Secondary User on another account

You can invite them to your account using the same email address.

A Secondary User can belong to multiple Hospitable accounts. When they log in, they can switch between the accounts associated with their email address from their profile menu. Each account will only display the data associated with that account.

Tip: If the user regularly works across multiple accounts, using a dedicated email address for Secondary User access can make account switching easier to manage.

On the mobile app, switching accounts may require logging out completely and logging back in with the appropriate credentials.

If they have their own primary Hospitable account

An email address associated with a primary Hospitable account cannot also be used for a Secondary User account.

There are two options.

Option 1: Use a different email address

Invite the person as a Secondary User using an email address that is not associated with their primary Hospitable account.

This allows them to keep both accounts active.

Option 2: Migrate their existing account

If their primary Hospitable account is no longer needed, contact Hospitable Support to request an account migration.

Migrating the account converts the primary account into a Secondary User account. The existing primary account and its associated data will be permanently removed, so make sure any information that needs to be retained is backed up before proceeding.

Before requesting the migration:

  1. Obtain written permission from both account holders.

  2. Back up any booking, Metrics, or other account data that needs to be retained.

  3. Disconnect connected channel accounts as instructed by Support.

  4. Contact Hospitable Support to complete the migration.

If an Airbnb account is being disconnected from one Hospitable account and connected to another, all listings associated with that Airbnb account move with the connection. Individual listings from the same Airbnb account cannot be split between Hospitable accounts.

If properties will no longer be managed under the original account, review which properties remain active before completing the change. Active properties can affect billing.


Edit a Secondary User

The primary account owner can change a Secondary User's access at any time.

To edit a Secondary User:

  1. Go to Settings ⚙️ → User Management.

  2. Click the Secondary User you want to edit.

  3. Update their Full access or Custom access selection as needed.

  4. If using Custom access, update their Features and Properties permissions.

  5. Click Update.

Changes determine which features and properties the Secondary User can access.

Remove a Secondary User

If someone no longer needs access to your account:

  1. Go to Settings ⚙️ → User Management.

  2. Click the Secondary User you want to remove.

  3. Scroll to the bottom of their user page.

  4. Click Delete user.

Their access to your account will be removed immediately.

Removing a Secondary User also revokes their API, MCP, and Apps connection access. Changing a user from Full access to restricted access also revokes this access.


Before Moving Listings or Closing an Account

If you're removing a Secondary User as part of moving properties, channel connections, or management responsibilities between Hospitable accounts, consider the following first:

  • Connected Airbnb accounts: An Airbnb account can only be connected to one Hospitable account at a time. Moving the connection moves all listings associated with that Airbnb account.

  • Billing: Review active properties and mute or disconnect properties that will no longer be managed from the account to avoid unnecessary charges.

  • Data: Export any booking, Metrics, or other account data you want to retain before transferring connections or closing an account.
