Adding Fillable Fields to Rental Agreements

How do I add fillable fields to collect information from guests on the rental agreement?

You can add fillable fields to your rental agreements to capture additional information from your guests.

To do this, in the rental agreement editor, click Add Personalization or start typing '{' to see the list of available fillable fields. If you want to require the guest to complete the field, select the required version of that field.

Available fields:

  • Document/passport ID

  • Guest address

  • Guest age

  • Guest billing address

  • Guest date of birth

  • Guest email

  • Guest name

  • Guest phone

  • Reason for travel

  • Relation to the booking guest

  • Tax ID

  • Vehicle brand

  • Vehicle license plate number

  • Vehicle registration state

Guests will be prompted to fill out the fields before signing the rental agreement.

Each fillable field has a required or non-required option that can be selected from the list. A required field cannot be bypassed by the guest, when completing the rental agreement.

If a required fillable field is not completed and the guest attempts to sign the rental agreement, they will receive an error and the missing fields will be marked in red, prompting them to complete them.

Tips and Limitations

  • Using Custom PDFs: Hospitable.com does not support direct PDF attachments in messaging rules. As a workaround, host your PDF at a publicly accessible URL and include the link in your messaging rule.

  • Static Fillable Fields: Fillable fields are static and cannot dynamically adjust based on the number of adults in a reservation. To accommodate varying party sizes, set the template to your property’s maximum occupancy and include optional fields for additional guests.

  • Resolving "Property Not Scoped" Errors: If rental agreements are not generating and you see a "property not scoped" error, edit your active agreement template and assign it to the relevant property. Once scoped, you can use the Request New Signature option for that property’s reservations.

Managing Signed Agreements

The Signed Agreements section only displays agreements for reservations that are currently pending or accepted. Agreements tied to expired, canceled, or declined reservations are removed from this view.

Guest ID Verification

To enable guest ID verification:

  1. Open the rental agreement editor.

  2. Scroll down the template settings.

  3. Tick the Guest ID Verification option.

Troubleshooting Common Issues

If the fillable fields feature is not working as expected, try the following steps:

  1. Clear Browser Cache and Cookies: Clear your browser's cache and cookies or open the site in a private/incognito window to test functionality.

  2. Update Your Browser: Ensure you are using the latest version of your browser.

  3. Disable Browser Extensions: Temporarily disable plugins, ad blockers, or privacy extensions that may interfere with the site.

  4. Test on a Different Network: Use a mobile hotspot or another network to rule out issues caused by VPNs, firewalls, or company networks. If the issue persists, note any error messages and share screenshots with support for further assistance.
