Set Up the Tasks App and Invite Your Teammates

Learn how to add teammates in Hospitable, invite them to the Tasks App, help them sign in, and manage their access.

Written by Pierre-Camille Hamana

Hosts use Hospitable to invite cleaners, maintenance staff, and other teammates to the Tasks App. Once invited, teammates can access their assigned jobs, communicate with you, and manage their work through a separate web-based portal.

This guide explains how to add and invite teammates, help them access the app, and manage their account information.

Before You Start

The Tasks App is available to users added as Teammates in Hospitable.

  • Teammates use the Tasks App to receive and manage assigned jobs. Their teammate role does not give them access to your main Hospitable dashboard.

  • Secondary Users access the main Hospitable dashboard according to the permissions you grant them. Being a Secondary User alone does not provide Tasks App access.

A person can be both a Teammate and a Secondary User. They must be added as a Teammate to use the Tasks App.

Add and Invite a Teammate

Add a Teammate in Hospitable

  1. Go to Operations → Teammates.

  2. Click Add teammate.

  3. Enter the teammate's contact information, including their name, email address, and phone number.

  4. Configure their available settings and save the profile.

If your teammate already works for another Hospitable host, use the same email address they use for their existing Tasks App account. This allows them to access assignments from multiple hosts with one login.

Send an Invitation to the Tasks App

After adding the teammate:

  1. Go to Operations → Teammates.

  2. Open the teammate's profile.

  3. Click Send invite to Tasks App.

The teammate receives an invitation by email or SMS and can follow the link to access the Tasks App.

Help Your Teammate Access the Tasks App

Teammates sign in at tasks.hospitable.com/login.

The Tasks App uses passwordless sign-in. Teammates enter their email address or phone number and use a six-digit verification code to access their account.

Verification codes expire after 15 minutes. If a code expires, the teammate must request a new one.

If Your Teammate Did Not Receive the Invitation

Check the following:

  • Their email address or phone number is correct under Operations → Teammates.

  • They have checked their spam or junk folder.

  • The invitation has been sent from their teammate profile.

If needed, resend the invitation from the teammate's profile.

If Your Teammate Cannot Sign In

Confirm that they are using the email address or phone number associated with their teammate profile.

If they are having trouble with a verification code, ask them to request a new one and use it before it expires.

If Your Teammate Cannot See Their Jobs

Check that tasks have been created and assigned to the correct teammate profile in Hospitable.

Inviting a teammate to the Tasks App does not automatically assign jobs to them. They will only see work assigned to their profile.

Check Your Teammate's Tasks App Access

You can check when a teammate last opened the Tasks App.

The Last active timestamp appears in two places:

  • Operations → Teammates: In the teammate list.

  • Individual teammate profile: In the teammate's account information.

This helps you identify teammates who have not accessed the app recently.

Help Teammates Working for Multiple Hosts

A teammate can work for multiple Hospitable hosts using one Tasks App account, provided every host invites them using the same email address.

In that case:

  • Assignments from different hosts appear together in the Tasks App.

  • Each job identifies its host and property.

  • Payouts remain separate for each host.

  • Each host continues to manage their own teammate profile independently.

If a teammate was invited using different email addresses, each host can update the email address under Operations → Teammates to match the teammate's shared login address.

Teammates cannot currently change their own email address or phone number in the Tasks App. Hosts must update these details in Hospitable.

Remove a Teammate's Access

If a teammate no longer works with you, remove them from your Hospitable account.

  1. Go to Operations → Teammates.

  2. Open the teammate's profile.

  3. Remove the teammate from your account.

Removing a teammate revokes their access to your assigned jobs and future task invitations through the Tasks App.

Reset Access only resets the teammate's iCal access link. It does not revoke their Tasks App access.

Share a Teammate's Task Calendar Feed

The Tasks App is the recommended way for teammates to view and manage their jobs. However, you can also share an iCal feed if they prefer to see assignments in a third-party calendar.

  1. Go to Operations → Teammates.

  2. Open the teammate's profile.

  3. Select the iCal tab.

  4. Copy the feed URL and share it with your teammate.

They can subscribe to the feed using a compatible calendar application, such as Google Calendar, Apple Calendar, or Outlook.

An iCal feed provides calendar visibility. It does not replace the Tasks App for accepting assignments, completing checklists, reporting issues, or communicating with hosts.
