Tasks Portal: Set Up the Teammate Portal, Invite Your Team, and Pay Teammates

Learn how to invite teammates, track task progress, and pay them through Hospitable

The teammate portal lets your on-the-ground teammates manage their assigned task jobs while you track progress in real time from Hospitable. After you invite a teammate to the portal, they can accept or reject tasks, update task status as they work, and upload photos—and you’ll see those updates on the task. You’ll also be able to pay out your teammates for their work, and they’ll be able to see their payouts in the portal.


What the Teammate Portal is

The Teammate Portal is where teammates manage the tasks you assign to them.

As a host:

  • You assign and manage tasks in Operations → Task Calendar

  • Teammates manage those tasks in the Teammate Portal (also called Hospitable Tasks or the Tasks Portal)

💡 Teammates do not get access to your Hospitable account. The Teammate Portal is a separate website/app.

Invite a teammate to the teammate portal

To give a teammate access to the portal, send them an invite from the teammate's details page.

  1. Go to Operations > Teammates

  2. Have you added the teammate yet?

    • If no, click on +Add new to add their details (including name, contact details, role, and properties). Click Create.

    • If yes, open the teammate details page for the teammate you want to invite

  3. Click Invite [teammate's name] to Teammate Portal

    • Choose whether to invite them via Email or SMS

      • If you haven't added both a phone number and email address for the teammate, the unavailable option will be greyed out

Once invited and the invitation is accepted, your teammate will be able to access the portal to manage their assigned task jobs.

Email invite:

  • The teammate receives an email with button to access Hospitable Tasks.

  • Clicking the link logs them in automatically.

SMS invite:

  • The teammate receives an SMS with a link to Hospitable Tasks.

  • When they open the link, they'll need to enter their phone number and receive a one-time verification code (OTP) to log in.

⚠️ Once a teammate logs into the portal, you can no longer edit their email or phone number in Hospitable. The teammate will manage their own contact details in the Account section of Hospitable Tasks.


What teammates can do

After being invited, teammates can:

  • Accept or reject tasks

  • View upcoming jobs

  • Update task status (On their way, Arrived, Started)

  • Upload photos and videos

  • Complete checklist items

  • Report issues

  • Message you with questions or updates

  • Complete the task job

  • Set up payouts so they can get paid (if you have enabled payments)

You can track task progress in real time

Open a task from the Task Calendar to see:

  • Task acceptance status — whether the teammate has accepted or rejected the task

  • Live status updates — On the way, Arrived, Started

  • Uploaded photos

    • Photos taken more than 12 hours before upload or after task completion are flagged, since they may not reflect the current condition of the property.

  • Reported issues — you receive a notification when a teammate reports an issue

  • Completed checklist items

    • Ad-hoc checklist items (items you add manually to a single task) are shown to teammates as "Unique Item" so they don't miss them.

  • Task completion status

    • YYou’ll also receive an email notification when a task job is marked as complete so you can review the checklist completion and any photos submitted.

Teammate task notifications

Teammates receive automatic notifications to help them stay on top of upcoming work.

1-hour push notification

Teammates receive a push notification when they have a task starting in 1 hour. This notification is sent automatically — no setup is required by you.

The notification is fully translated into the language the teammate has set in their Account settings in Hospitable Tasks.

24-hour SMS reminder with direct link

When a task reminder is sent via SMS 24 hours before a task is due to start, the message now includes a direct link to the specific task in Hospitable Tasks. Teammates can tap the link to go straight to the task details.


Communicate with your teammate

You can message teammates in two ways.

From the Task Calendar

  1. Go to Operations → Task Calendar

  2. Click a task

  3. Scroll to the Messages section

From the Inbox

  1. Open the relevant reservation conversation

  2. View teammate messages in the conversation thread

⚠️ Replies sent directly to SMS or email notifications are not captured in Hospitable. Teammates should reply through the portal so messages appear in your Task Calendar and Inbox.


Pay Your Own Team (PYOT)

You can pay teammates for completed tasks directly through Hospitable.

🇺🇸 Pay Your Own Team (PYOT) is currently available to hosts in the United States on all plans except the Legacy plan.

If you are located outside the US, you will not see payment options, Marketplace settings, or the Earnings tab in your account or your teammate's portal. This is expected — it is not a bug. Legacy plan users must upgrade their plan to access PYOT.

How payments work

Paying teammates involves two steps:

  1. Linking your bank account (one-time setup)

  2. Setting a payment amount for each task

💰 A 1.5% service fee applies to each payment, capped at $5.

Step 1: Link your bank account

Before you can pay teammates, set up your payment method:

  1. Go to Settings → Payments & Payouts → Marketplace

  2. Add or select your payment method

💡 Your prepaid balance is automatically topped up 5 days before a task starts, so funds are ready when the task is completed. You can also add prepaid funds by clicking on ... and then Add funds.

Step 2: Set up a payment for a task

  1. Go to Operations → Task Calendar

  2. Open a task

  3. Under Payment, click Set up a payment for your teammate

  4. Enter the amount

  5. Click Confirm price

Automate payments (optional)

You can automate payments so you don't have to set them manually each time:

  1. Create a cleaning task rule

  2. Set a default payment amount in the rule

All future tasks created from that rule will use the default amount automatically.

Step 3: Make sure your teammate sets up payouts

In order for teammates to receive payments, they must complete payout setup in the portal:

  1. Log in to Hospitable Tasks

  2. Go to the Earnings tab

  3. Add a bank account via Plaid

  4. Complete identity verification (KYC)

If they don't complete setup:

  • Missing identity verification → the payout is delayed until verification is complete

  • Missing bank account → the teammate is notified and the payment is retried automatically

Teammates cannot add a payment method until the first two steps have been completed.


Approve or dispute payments

After a teammate completes a task:

  • Approve the payment, or

  • Dispute the payment

⏱️ Payments are auto-approved after 24 hours if no action is taken.


Troubleshooting

I can't find the invite button

Go to Operations → Teammates and open the teammate's profile. The Send invite to teammate portal button is on the profile page.

My teammate didn't receive the invite

  • Ask them to check their spam or junk folder (for email invites)

  • Verify the email address or phone number on their teammate profile is correct

  • Resend the invite from their profile page

My teammate was invited via SMS but can't log in

When a teammate is invited via SMS (rather than email), they are not automatically logged in. They need to:

  1. Open the link in the SMS

  2. Enter their phone number

  3. Receive and enter a one-time verification code (OTP)

If they're not receiving the OTP, check that the phone number on their teammate profile in Hospitable matches the one they're entering. Ensure their phone service is active and able to receive SMS messages.

Which plan do I need for the Teammate Portal?

The teammates and the teammate portal is included on all Hospitable plans.

Does my plan include the ability to pay my team?

Hosts on Essentials, Host, Professional, and Mogul within the United States can use the PYOT feature.

Legacy plans and hosts located outside of the US do not have access to the Pay Your Team feature.

I don't see the payment option

  • Check your location: PYOT is currently US-only. If you are outside the US, payment options will not appear.

  • Check your plan: PYOT is not available on the Legacy plan. Upgrade here.

  • Check your bank account: Make sure you've completed the payment method setup under Settings → Payments & Payouts → Marketplace.

  • Make sure you've already added the teammate and followed the remaining steps in this article.

I see a greyed-out payment box on a task

This means payment setup is incomplete. Confirm that:

  • You have linked a bank account under Settings → Payments & Payouts → Marketplace

  • Your prepaid balance has funds

  • You are located in the US (PYOT is US-only)

My teammate can't see the Earnings tab

The Earnings tab only appears in the teammate's portal once the host has:

  1. Linked a bank account in Hospitable

  2. Set up a payment method under Settings → Payments & Payouts → Marketplace

  3. Set up a payment on at least one task assigned to that teammate

Once you complete these steps, the Earnings tab becomes visible for the teammate.

My teammate's bank verification failed

  • Plaid connection errors: Ask the teammate to try a different browser, clear cookies, or use manual bank login instead of the quick-connect option. Some banks have intermittent issues with Plaid.

  • Identity verification (KYC) not completing: The teammate must finish identity verification before payouts can be sent. If verification is stuck, ask them to retry or contact support.

  • "Verify" button not working on mobile: This is a known issue (Linear: FFS-515). Ask the teammate to complete verification on a desktop browser instead.

My teammate replied but I don't see the message

They may have replied directly to an SMS or email notification instead of using the portal. Replies sent outside the portal are not captured in Hospitable. Ask the teammate to send messages through Hospitable Tasks.

The invite link opens a blank page

​Steps your teammate can try:

  • Try opening the link in a different browser

  • Clear browser cache and cookies, then try again

  • If on mobile, try opening the link on a desktop/laptop computer

How long does it take for my teammate to receive payment?

Once a cleaning task is completed and payment is approved (either manually by you, or automatically after 24 hours), the payout is initiated. Here's the expected timeline:

  1. Task completed → Payment approval (immediate if you approve manually, or automatic after 24 hours if no action is taken).

  2. Payout processing → After approval, the payout is queued for processing. Currently, payout processing begins within approximately 24 hours of approval. (Note: We are actively working to reduce this to immediate processing.)

  3. Bank transfer → Once the payout is processed, it is sent via ACH to the teammate's bank account. ACH transfers typically take 3–5 business days to arrive.

Total expected time from task approval to funds in bank: approximately 4–8 business days.

Important: "Instant payment" refers to the payout being initiated automatically upon task approval — it does not mean the money arrives in the teammate's bank account immediately. Bank transfer times are determined by the banking system, not by Hospitable.

If your teammate has not received payment after 8 business days from task approval:

  1. Confirm the teammate has completed their payout setup in the Teammate Portal (Earnings → Bank Account).

  2. Check that the teammate's identity verification is complete (if required).

  3. Contact support at [email protected] with the task details.
