Overview: Tasks App

Learn how the Tasks App works for teammates, including logging in, managing jobs, messaging hosts, and tracking payouts.

The Tasks App is where teammates manage the work assigned to them by hosts in Hospitable. Teammates can view assigned jobs, accept or reject tasks, complete checklists, upload photos, message hosts, and track earnings from one place.

Hosts use Hospitable to assign and manage work, while teammates use the Tasks App to complete it.

What Is the Tasks App?

The Tasks App is a separate portal designed for cleaners, inspectors, maintenance teams, co-hosts, and other on-the-ground teammates.

Teammates use the portal to:

  • View upcoming and requested jobs

  • Accept or reject assignments

  • Share an accepted task with someone else - for example if the teammate works with a friend, or if the teammate is a cleaning company that assigns jobs to their own crew

  • Complete tasks and checklists

  • Upload arrival and completion photos

  • Report issues to hosts

  • Message hosts directly

  • Track payouts and earnings

The Tasks App is a web-based portal that teammates open in their browser at tasks.hospitable.com, including on iPhone or Android. It is not the iPhone Calendar app, the Google Calendar app, or any other native calendar app, and it is not an iCal feed. Some teammates also subscribe to their task schedule in a separate calendar app using a Hospitable-generated iCal link; that is a different setup.


Tasks App vs Secondary Users

Teammates and Secondary Users are different types of access in Hospitable.

Teammates

Teammates are people who complete operational work at properties, such as:

  • Cleaners

  • Maintenance staff

  • Inspectors

  • Field operators

Teammates use the Tasks App only and do not have access to your Hospitable account dashboard.

Secondary Users

Secondary Users can access the main Hospitable dashboard at my.hospitable.com.

They may have access to:

  • Calendar

  • Inbox

  • Settings

  • Reservations

  • Reports

A person can be both a teammate and a Secondary User if needed.


Working for multiple hosts on Hospitable

A teammate can work for more than one Hospitable host from a single Tasks App login. If several hosts invite the teammate using the same email address, all of those hosts' tasks show up together in one Tasks App account, with the host and property name on each job card. The teammate doesn't need separate logins to switch between hosts.

There is no in-app host switcher. Consolidation happens at the email level.

How consolidation works:

Each host invites the teammate under the same email address, either at initial invitation or by updating the existing teammate profile under Operations → Teammates. On the teammate's next sign-in with that shared email, every host's tasks appear together.

What the teammate sees once consolidated:

  • All jobs from all hosts in one Jobs tab, labeled by host and property

  • One Payouts view, with each host's payouts tracked separately

If the teammate prefers separate accounts:

The teammate can sign out under Account → Sign out and sign back in with the other email each time they want to switch. This works but isn't recommended for daily use.

Each host still manages their own teammate profile independently in Operations → Teammates. Consolidation only affects what the teammate sees on their end.


How Teammates Sign In

The Tasks App uses passwordless login with a verification code.

To sign in:

  1. Go to tasks.hospitable.com/login

  2. Choose email or SMS login

  3. Enter the email address or phone number connected to the teammate profile

  4. Click Send verification code

  5. Enter the 6-digit code to access the portal

First-Time Access

When a host invites a teammate to the Tasks App, the teammate receives an invitation email or SMS with a direct access link.

The teammate can:

  • Open the invitation

  • Click Access Hospitable Tasks

  • Sign in automatically

If a teammate has not been invited yet, the host must send an invitation from Operations → Teammates.

Install the app on your phone's home screen

The Tasks App is a web app, not a native mobile app. You will not find it in the Apple App Store or Google Play Store. Instead, you open it in your phone's browser at tasks.hospitable.com, and you can add a shortcut to your home screen so it opens like any other app: full-screen, with its own icon.

Install on iPhone or iPad

  1. Open Safari on your iPhone or iPad.

  2. Go to tasks.hospitable.com and sign in if you are not already logged in.

  3. At the top of the screen you will see a prompt to install the app. Click it and follow the on screen instructions.

Install on Android

  1. Open Chrome on your Android phone or tablet.

  2. Go to tasks.hospitable.com and sign in if you are not already logged in.

  3. At the top of the screen you will see a prompt to install the app. Click it and follow the on screen instructions.

Main Areas of the Tasks App

Dashboard

The Dashboard gives teammates a quick overview of their work and earnings.

It includes:

  • Today’s jobs

  • Upcoming jobs

  • Monthly earnings summary

  • Quick access to scheduled tasks

Jobs

The Jobs section is where teammates manage assigned tasks.

Teammates can:

  • View requested jobs

  • Accept or reject tasks

  • Share an accepted job

  • Open task details

  • Start and complete jobs

  • Cancel accepted jobs

  • Review property information and checklists

Sharing a job with someone else

If someone else is helping you with a task, like a friend or a member of your cleaning team, you can share the job with them so they can see the details, message the host, and mark work complete on your behalf. You stay the primary teammate for the job, payment still goes to you, and the host still sees you as the person responsible.

To share a job:

  1. Open the assigned job.

  2. Tap Share Job in the job details.

  3. Pick someone from My Team, or add a new person with first name, last name, and email or phone number (at least one).

  4. Choose a language for their invite (English or Español).

  5. Confirm. They'll get an invite by email or SMS (depending on what you added) with a link to open the job.

Your helper can view the checklist, upload photos, message you and the host, and report issues. They can't see payment info, decline the job, or share it further.

Share the job with more people, or to remove someone from the list:

  1. Go to the task page in the tasks app

  2. Click manage next to the name of the person you've shared with.

What the person a teammate shares with can do:

  • View the job details and checklist

  • Check items off the checklist and upload photos

  • Update the progress of the job (arrive on site, mark stages complete)

  • Report an issue

  • Message the host about the job

What they can't do:

  • See payment details for the job

  • Cancel or decline the job

  • Share the job with anyone else

  • See any other jobs they don't have access to

A few things to know:

  • Messages they send, issues they report, and photos they upload are shown to the host with their name, so it's clear who did what.

  • The host sees the first name and initial of anyone a teammate has shared the job with under the assignee, but the job stays assigned to the primary teammate.

  • Payment for the job still goes to the primary teammate assigned to the task.


Messages

The Messages section allows teammates to communicate directly with hosts.

Teammates can use Messages to:

  • Ask questions about tasks

  • Report updates

  • Share information during a job

  • Coordinate scheduling or property access


Payouts

The Payouts section helps teammates track payments and manage their payout information.

Teammates can:

  • View total earnings and tips

  • See upcoming and completed payouts

  • Track payout statuses

  • Review payout transactions

  • Connect or update a payout method

Available payout statuses may include:

  • Pending

  • Scheduled

  • Paid

  • Failed

Account

The Account section lets teammates manage their personal settings.

This includes:

  • Updating email or phone number

  • Changing preferred language

  • Viewing connected hosts

  • Managing notification preferences


Common Questions

I can’t sign in to the Tasks App

Make sure you are signing in at: tasks.hospitable.com/login

Teammates cannot sign in at my.hospitable.com.

If you still cannot access the portal:

  • Confirm the host invited you as a teammate

  • Verify you are using the correct email or phone number

  • Check your spam or junk folder for the verification email

  • Request a new verification code


I did not receive the verification code

If you do not receive the code:

  • Wait a few minutes and try again

  • Check spam or junk folders

  • Confirm the host used the correct email or phone number

  • Ask the host to resend the invitation


I don’t see the Payouts tab

The host must enable teammate payments before payout setup becomes available.


Where do I see new task requests?

Go to the Jobs tab to see requested and assigned tasks.

If the host has enabled notifications, teammates may also receive:

  • Email reminders

  • SMS notifications

  • Push notifications


Is the Tasks App different from the teammate portal?

No. The Tasks App and teammate portal are the same system.

Teammates use the portal to manage jobs, communicate with hosts, and track payouts.
