Tasks App: Set Up the App, Invite Your Team, and Pay Teammates

Learn how to add teammates, invite them to the Tasks App, assign work, and enable teammate payouts.

The Tasks App allows hosts to assign operational work to cleaners, maintenance staff, inspectors, and other on-the-ground teammates.

From Hospitable, you can:

  • Add teammates

  • Send portal invitations

  • Assign task jobs

  • Track job completion

  • Enable teammate payouts

  • Manage payout schedules and payout methods

This article covers the initial setup process for hosts using the Tasks App.


Before You Start

Before teammates can use the Tasks App:

  • The teammate must be added in Hospitable

  • The teammate must receive a portal invitation

  • Tasks must be assigned to the teammate

  • Optional: teammate payouts must be enabled if you want to pay through Hospitable

Teammates use the Tasks App at tasks.hospitable.com. They do not log in to the main Hospitable dashboard.


Add a Teammate

To add a teammate:

  1. Go to Operations → Teammates

  2. Click Add teammate

  3. Enter the teammate’s details:

    • Name

    • Email address

    • Phone number

  4. Configure task assignment settings if needed

  5. Click Save

Invite a Teammate to the Tasks App

Once the teammate profile is created:

  1. Open the teammate profile

  2. Click Send invite to Tasks App

  3. The teammate receives an invitation email or SMS

  4. The teammate clicks the invitation link to access the portal

If the teammate does not receive the invitation, confirm the email address or phone number is correct before resending.


Assign Tasks to Teammates

Tasks can be assigned automatically or manually depending on your workflow configuration.

Teammates receive assigned jobs in the Jobs section of the Tasks App.

Assigned tasks may include:

  • Cleaning jobs

  • Inspections

  • Maintenance tasks

  • Custom operational workflows

Hosts can configure:

  • Auto-assignment rules

  • Task timing

  • Task instructions

  • Checklists

  • Photo requirements

Track Task Progress

Hosts can monitor teammate activity directly in Hospitable.

You can track:

  • Requested jobs

  • Accepted jobs

  • Completed tasks

  • Cancelled jobs

  • Uploaded photos

  • Checklist completion

  • Reported issues

Task updates appear automatically as teammates progress through their assigned work.


Preview the Tasks App as a teammate

If you want to see exactly what one of your teammates sees in the Tasks App - e.g., to walk them through their first job or troubleshoot what they're looking at then you can open a read-only preview from Hospitable.

  1. Go to Operations → Teammates.

  2. Open the teammate you want to preview.

  3. Select settings in the top right and click Preview Tasks

What you'll see

  • Tasks you've assigned to this teammate

  • Payments related to those tasks

  • Messages between you and this teammate about those tasks

What you won't see:

  • Tasks, payments, or messages assigned to this teammate by any other host they work for.

What you can't do in preview mode:

The preview is read-only.

You cannot accept, reject, complete, or cancel tasks, send messages, upload photos, or edit payout settings from inside the preview.


Enable Teammate Payments

Hospitable can be used to pay teammates through the Tasks App.

To enable payouts:

  1. Go to Operations → Teammates

  2. Open the teammate profile

  3. Enable teammate payments

  4. Configure payout settings

  5. Save your changes

Once enabled:

  • The teammate can see the Payouts tab in the Tasks App once they have at least one task assigned to them

  • The teammate can add a payout method

  • Completed jobs become eligible for payouts

The Payouts tab only appears for teammates after both of the following are true: teammate payments are enabled for that teammate profile, and the host has assigned at least one task to that teammate. Until both conditions are met, the Payouts tab is hidden in the Tasks App.

How Teammates Add Their Payout Method

After payouts are enabled:

  1. The teammate logs into the Tasks App

  2. Opens the Payouts tab

  3. Clicks Settings

  4. Adds or updates their payout method

Teammates can track:

  • Upcoming payouts

  • Completed payouts

  • Pending transactions

  • Tips and total earnings

What Your Teammate Gets Paid

The payment amount you set when creating a task or task rule is exactly what your teammate receives. Hospitable never deducts a fee from the teammate's payout. Any processing fee is added on top of the task payment and charged to your payment method.

How the processing fee is calculated depends on your plan:

  • Host, Professional, and Mogul plans: One free payout per active property per calendar month. After that, additional payouts to teammates for that property are charged a 1.5% processing fee (capped at $5 per payout run).

  • Essentials plan: No monthly free payout. Every payout to a teammate is charged a 2.5% processing fee (capped at $5 per payout run).

Example — you set a $100 task payment:

  • Host / Pro / Mogul: Hospitable charges you $101.50 after you have used your free payout runs. Your teammate receives $100. Hospitable receives $1.50.

  • Essentials: Hospitable charges you $102.50. Your teammate receives $100. Hospitable receives $2.50.


Manage Payout Schedules

Hosts can configure payout timing and payout processing schedules for teammates.

This includes:

  • Automatic payout timing

  • Payment approval workflows

  • Scheduled payout runs

  • Funding requirements


Messaging Between Hosts and Teammates

Hosts and teammates can communicate directly through the Tasks App.

Messages can be used to:

  • Clarify task instructions

  • Share updates

  • Report issues

  • Coordinate scheduling

  • Request additional information

Messages sync between Hospitable and the Tasks App automatically.


Remove or Revoke Teammate Access

To remove a teammate’s access:

  1. Go to Operations → Teammates

  2. Open the teammate profile

  3. Remove the teammate from your account

Removing the teammate revokes access to:

  • The Tasks App

  • Assigned jobs

  • Future task invitations

Reset Access only resets the teammate’s iCal access link. It does not revoke Tasks App access.


Common Questions

My teammate did not receive the invitation

Check the following:

  • The teammate email or phone number is correct

  • The teammate checks spam or junk folders

  • The invitation was resent from the teammate profile


My teammate cannot see the Payouts tab

  1. The Payouts tab only appears after teammate payments are enabled for that teammate profile.

  2. The host has assigned at least one task to that teammate. The Payouts tab is hidden for teammates who have been invited to the Tasks App but have no assigned tasks yet.


Can teammates access my Hospitable account?

No. Teammates only access the Tasks App.

If someone needs access to your Hospitable dashboard, add them as a Secondary User instead.


Can a teammate also be a Secondary User?

Yes. A person can have both:

  • Tasks App access as a teammate

  • Dashboard access as a Secondary User

These permissions are managed separately.


Troubleshooting Payments and Access

If teammates experience issues with:

  • Payout setup

  • Failed payouts

  • Verification problems

  • Missing payout methods

  • Payment delays
