Note: The teammate portal is currently only available to accounts enrolled in the Pilot, and is not yet available in all Hospitable accounts.
The teammate portal lets your on-the-ground teammates manage their assigned task jobs while you track progress in real time from Hospitable. After you invite a teammate to the portal, they can accept or reject tasks, update task status as they work, and upload photos—and you’ll see those updates on the task. You’ll also be able to pay out your teammates for their work, and they’ll be able to see their payouts in the portal.
What the teammate portal is
The teammate portal is where your teammates go to manage the tasks you assign them. You can see an overview of what your teammates can do in the teammate portal here.
Invite a teammate to the teammate portal
To give a teammate access to the portal, send them an invite from their teammate details page.
Go to Operations > Teammates
Open the teammate details page for the teammate you want to invite
Click Send invite to teammate portal
Once invited, your teammate will be able to access the portal to manage their assigned task jobs.
What teammates do in the portal
After they’re invited, teammates use the portal to keep tasks that you've assigned them moving forward. They can:
Accept or reject a task.
See all upcoming tasks.
Update the task status as they work.
Message you with any questions or updates about the task.
Upload photos and videos for the task.
Report any issues to you.
Complete the task job when finished.
Add a payout method to receive payments from you for a task.
Track task progress in real time
You can track a teammate’s progress as they’re updating their status in the Teammate portal directly from the task itself.
Once you click on a task in the task calendar, you can see:
Whether a task has been accepted or rejected
The task status updates in real time, including when a teammate is:
On their way
Arrived
Started
Any photos the teammate uploads via the portal
We’ll let you know if any photos were taken more than 12 hours prior to the task upload time to flag that they may not be reflective of the current condition
Any issues reported by the teammate (Note: you will also receive a notification for any reported issues so you’ll be alerted immediately)
Checklist items that are marked as complete by your teammate
If you've added an ad-hoc checklist item that's different from your usually checklist for that task, we'll automatically flag that as a Unique Item for your teammate so they're made aware of the request.
When the task job is complete
You’ll also receive an email notification when a task job is marked as complete so you can review the checklist completion and any photos submitted.
Communicate with your teammate
Your teammates will be able to message you from the Teammate portal. To view their messages, or message them back, navigate to the inbox conversation for the related reservation or head to the Task calendar. Then, open the Task and you’ll see a section for Messages.
Pay your teammate for a task job
Paying your teammate includes two parts:
Linking a bank account in Hospitable
Setting up a payment for a specific task job from the task calendar
Link your bank account
Before you can pay teammates, you’ll need to have a bank account set up in Hospitable. You can learn how to do that here: https://help.hospitable.com/en/articles/12981166-setting-up-a-bank-account.
Once you have a bank account set up, you can head to Settings > Payments & Payouts > Marketplace to set the Payment Method for paying your teammates.
We automatically top up the prepaid balance 5 days before a task’s start date once a bank account is linked. You can also add prepaid funds manually by clicking the … and selecting Add funds.
Set up a payment for a teammate from the task
After your payment method is set up:
Go to the task in the task calendar
In the task, under Payment, click Set up a payment for your teammate
Enter the price for the payment
A 1.5% service fee applies, capped at $5
Click Confirm price
Make sure your teammate sets up their bank account in the portal
Your teammate also needs to set up their bank account so they can receive payouts.
Ask your teammate to:
Sign in to the teammate portal
Go to Earnings
Set up their bank account
If you try to pay a teammate who hasn’t finished payout setup yet, here’s what happens:
They have a balance account, but haven’t completed identity verification (KYC): we won’t pay out until they verify their identity. We’ll notify the teammate at that point.
They haven’t added a payout method (bank account): we’ll notify the teammate to add a payout method, and we’ll retry sending the payment.
Approve or dispute the payment after the task is complete
Once the task job is marked complete, you can:
Approve the payment, or
Dispute the payment
If you don’t approve or dispute, the payment auto-approves after 24 hours.
