In order for your teammates to receive automatic notifications about reservations and assigned tasks, relevant notification rules must be set up. These rules can be tailored to specific teams and properties and can be sent either as an email or SMS.
You can read more on the different types of notifications here.
How to Create a Notification Rule
To create a notification rule:
Go to Operations
Click on Notification rules in the left sidebar
Click on "+ Add new" at the top right corner of the page
Select the type of notification
On the rule editor page, select the delivery type (Email/SMS)
Write the template of your notification in the message editor.
Note: Notifications are never sent out for past events when enabled, such as a reservation booked, or task assigned to a teammate before the notification rule was enabled.
Settings, Scope, and Team Selection
After creating your notification rule, you need to select the teams that should receive this notification, scope it to the relevant properties, and select whether or not you want the primary user on the Hospitable account to receive a copy of the notification in an email.
The options are:
Send a copy via email - If selected, the primary Hospitable user will receive an email copy of the notification. Even if set to "SMS", the primary user will still receive an email copy.
Team - Select which teams should receive the notification. A teammate can only receive the notification if they are set to the same Team as the notification rule.
Scope - Select the properties that the notification rule applies to.
Note: There is no option to scope notification rules by booking platform.
If you need to create a platform-specific notification rule, find instructions here.
Notification Rule Content
Shortcodes and custom codes can be added to notification rules to tailor them to each reservation.
Use the shortcode %pets% to get information on whether or not the guest is bringing pets, for example.
The same goes for the number of guests and children.
Other examples are:
%check_in_hour%%listing_full_address%%teammate_first_name%%task_start_time%
The full list of short codes are found here.
