Let's start by defining the actual issue
It's important to be able to clearly define what the actual issue is before we start to troubleshoot.
What actions did you take, and in what calendar (Hospitable's, or on one of the online travel agencies' (OTAs))?
What behaviour were you expecting, and what actually happened (or didn't happen)?
With that in mind, you can start going through the troubleshooting steps for your specific problem.
Make sure your listings are merged under the same property on Hospitable!
Merging properties lets Hospitable know that the listings belong to the same physical property and that the calendars can be synced.
For example: If your Airbnb and Vrbo listings are not merged together under one property on Hospitable, and you make a change in the Hospitable calendar of one of those properties, nothing will be pushed to the other property/listing. Those need to be merged together!
Make sure your booking channel is properly connected to Hospitable
While rare, it can happen that channels get disconnected. When this happens, Hospitable sends you an email to warn you about the disconnection. It's important that you reconnect the channel to Hospitable right away.
If a channel (Airbnb, Agoda, Booking.com, Vrbo) is disconnected, Hospitable cannot communicate any calendar data to that channel.
You can check your channel connections by going to:
Hospitable > Settings (the "wheel" icon in the bottom, left-hand corner)
Channel connections
Make Sure Your Airbnb Listing Admin Is Connected To Your Hospitable account
The Airbnb listing admin (often referred to as the listing owner) is the Airbnb account that created the listing. It's the account that contains the original Airbnb listing.
If you are a co-host on an Airbnb listing, you must invite the Airbnb listing owner to connect their Airbnb account to Hospitable. This is a requirement from Airbnb
If the listing admin listing is not connected to the same Hospitable account as the co-hosted listing, then Hospitable will not have access to edit listing details, settings, the calendar on Airbnb, or post reviews!
This means there will be no calendar pushes from Hospitable to that Airbnb listing!
You can read more about how to connect the listing admin to your account here.
I have an availability/booking window set on Hospitable, but dates are blocked on my booking channel
When you set an availability window on Hospitable, a new date in the future should roll open on your Hospitable and booking channel calendars every day, in line with your Availability window settings.
However, if you manually blocked or opened dates in your calendar on Hospitable, then those dates will no longer follow the setting in your availability window! Instead, the calendar will respect the manual update you made.
You can see if a date has been manually updated if you:
Go to Hospitable > Calendar
Click on the date or dates in question.
Look at the data field on the right-hand side.
Below where you see the "Open night" or "Blocked" status of the date/s, you see the source of the availability:
If this says "manual edits", that means the availability was manually edited in your Hospitable calendar.
If you want to clear all manual edits, and for your calendar to return to the availability rules you have set for the calendar, please reach out to Hospitable support and request them to "Reset dates for availability rules". This can be done for the entire calendar or for select dates/periods.
Note: The same behaviour applies to the Preparation time and Advance notice availability rules! Dates will ignore those rules if you manually edit availability.
Editing Availability On Airbnb And Booking.com
When you connect your Airbnb and Booking.com listings to Hospitable, Hospitable becomes the source of truth for all calendar data.
While you can still make edits to your pricing, discounts, or minimum night stays on Airbnb, you cannot edit your availability. Any of the pricing, discount, or minimum night stay changes you make on Airbnb will not be pulled into Hospitable.
Booking.com does not allow any edits to be made to the rate plan that is controlled by Hospitable.
All availability edits for Airbnb and Booking.com need to be made directly on the Hospitable calendar.
Airbnb limited connection
If you opted out of the Airbnb PMS official connection and are on the limited connection, then you will need to manage your calendar availability directly on Airbnb, as Hospitable will not be able to push anything to your Airbnb calendar.
Editing Availability On Vrbo
With the Hospitable connection to Vrbo, you can still manage your calendar directly on Vrbo and override any changes pushed by Hospitable.
Additionally, any imported iCal into your Vrbo calendar will override availability pushed by Hospitable.
If you see a "Conflict" in your Vrbo calendar on booked dates, then that could be because Hospitable pushed a calendar block to Vrbo, and then an imported iCal did the same. This is not detrimental to your calendar. However, Hospitable does not recommend importing an external iCal into your Vrbo calendar, unless that is the Property Reservation iCal from Hospitable.
If you make an edit to your Vrbo calendar directly, Hospitable will only pull that update into your Hospitable calendar if Vrbo is the lead listing on the property. That will happen on the next 4.5-hourly calendar sync with Vrbo. Hosts do not have an action to manually speed up this sync.
You can read more about this here.
Is your property listed?
Vrbo does not allow Hospitable to send any calendar updates when your listing is unlisted/hidden/paused/archived. Any attempts we make while your listing is in that state is "Skipped". We are never able to retry skipped pushes, not even after you list your listing on VRBO.
Make sure to list your listing on Vrbo before making any edits on Hospitable.
It can take up to a few hours after you set your listing to "Listed" on Vrbo before Vrbo communicates that through their API. In the meantime, all of our attempts to push to your Vrbo listing will continue to be "Skipped".
The following are a number of other known caveats and platform-specific issues or limitations.
Imported iCals On Airbnb
When you use a property management software (PMS) with Airbnb, Airbnb does not allow you to keep imported iCal links or add new ones to your Airbnb calendar.
Any imported iCal links you previously had on Airbnb will be removed by Airbnb.
However, there is a known bug on Airbnb that allows some hosts to keep their imported iCal links or add new ones.
This is considered a bug by Airbnb and is not expected behaviour.
External iCal links could be pushing contradicting availability to Airbnb, opening or blocking dates.
Guests Aren't Able To Book Available Dates On Airbnb
If a guest is not able to book available dates on Airbnb, it may be because you have "only allow experienced guests to book" enabled.
To check or adjust this setting, go to:
Hospitable > Properties
Select your property
Go to "Availability" on the left-hand side sub-menu
Select the "Instant book" tab
Review and edit your setting there as needed
Calendar changes not pushed to Vrbo
Occasionally, Vrbo may reject availability or pricing updates due to API rate limits.
This is a limit in Vrbo's API to how many pushes they accept from us, before they reject the rest.
If a push fails, Hospitable will automatically retry that push on a rolling 4.5-hourly basis until successful.
If needed, manually block booked dates on VRBO to avoid double bookings.
Dates Are Available On Hospitable, But Unavailable For Booking On The Booking Platform
Review the minimum night stay setting for the dates in question, and see if there is sufficient availability in your calendar for that requirement to be met.
For example: If there is a gap between two reservations of two nights, but the minimum night stay setting for those days is set to three nights, then no guest will be able to book them. This will result in the dates appearing as blocked on the booking platform.
Vrbo Blocks Are Not Removed Upon Connection
If dates are opened in Hospitable but they remain blocked in Vrbo after connecting or reconnecting your Vrbo listing to Hospitable, check the following:
1. Another iCal Is Imported into Vrbo
If an additional iCal is connected to Vrbo (such as an Airbnb iCal), it can override availability updates from Hospitable and re-block dates.
You should not have any third-party iCals connected to Vrbo while using Hospitable, except Hospitable’s own iCal (if desired as a backup if Vrbo becomes disconnected or Reservation Sync fails. Using an iCal is not required.
Follow Vrbo's instructions here to check for and remove imported iCals in Vrbo.
2. Availability Window Settings in Vrbo
Check your availability settings in Vrbo. If your Vrbo listing is set to:
Unavailable by default
A limited booking window that is shorter than the availability window in Hospitable
Future dates may appear as blocked in Vrbo even if they are open in Hospitable. Hospitable cannot remove blocks created by an availability window in Vrbo. You must open them directly in Vrbo before Hospitable can push availability updates.
3. Hard Blocks in Vrbo
If dates were automatically blocked when the listing was first created, Hospitable cannot remove these blocks.
You must first remove the block directly in Vrbo. Once the dates are open in Vrbo, Hospitable will be able to push availability updates going forward.
